Our client works to support victims and survivors of human trafficking in Alberta through collaborations with law enforcement, community organizations, and the Ministry of Public Safety and Emergency Services.
Position Overview:
Our client is looking for a highly organized and proactive Executive Assistant to support the CEO, Executive Leadership Team, and Board of Directors. This role involves managing schedules, coordinating meetings, and assisting with communications in a fast-paced environment. Key Responsibilities:
- Provide high-level administrative support to the CEO, including calendar management, travel arrangements, and organizing meetings and events.
- Support the Board of Directors by coordinating agendas, preparing materials, booking venues, and attending meetings to take minutes.
- Ensure all communication and documentation are consistent with the client's brand and mission, including drafting letters, emails, and presentations.
- Coordinate logistics for high-level internal and external meetings and ensure follow-up on assigned action items.
- Assist with technical setups for conference calls, presentations, and document management across multiple platforms.
- Maintain accurate records, including project plans, progress reports, and meeting minutes.
- Organize Board meetings, including managing agendas, compiling materials, and attending to minute-taking.
- Support planning for the annual Board Strategy Meeting and manage access to the Board Portal.
- Ensure seamless coordination of meetings and communication with Board members and sub-committees.
Skills & Qualifications:
- Proficient in Microsoft Office, Google Workspace, Dropbox, and other software.
- Very strong organizational, time management, and multitasking skills.
- Excellent interpersonal skills and ability to maintain confidentiality.
- Experience with Board support and calendar management.
- Post-secondary diploma and 5+ years of senior-level administrative experience.
- Certification through an accredited administrative association is a plus.
Employment Terms:
- Full-time contract (37.5 hours/week).
- Hybrid work option available.
- Located in Alberta, with some travel required.
