We are currently recruiting for a Part-Time Administrative Officer in Port Moody for a large organization that advocates for post-secondary education and represents faculty members across BC.

This role would see candidates with Executive Administrative experience to be successful considerations.

This role is a Part-Time & Temporary role of 15 hours/week following the below:

  • Must be available 2nd Monday afternoons of the month
  • Must be available weekly on Wednesdays
  • Day shifts TBD within 9am to 5pm hours
  • This role is temporary until it is determined it is no longer required within their staffing needs & ideally starts ASAP for the right candidate

Requirements:

  • At least 3 years of executive administrative experience
  • Strong proficiency with MS Office Suite:
  • Word: Formatting margins, setting justifications, aligning tabs, templates for agendas, adding headers/footers & using mail merge for address labels
  • Excel: Adjusting print margins for PDF conversion, simple formula calculations, wrapping text, formatting cells & applying fill/font colors
  • Strong proficiency with WordPress, Adobe Acrobat & MailChimp:
  • WordPress: Basic content updates: adding media, editing pages for the website - no press release creation
  • Adobe Acrobat: basic PDF editing
  • MailChimp: Formatting & circulating newsletters
  • Excellent written and oral communication (editing, proofreading).
  • Excellent time management, organizational, and problem-solving abilities.
  • Ability to multi-task and prioritize in a dynamic environment.
  • Professional, detail-oriented, and committed to fostering positive relationships.
  • References & BG check will be conducted upon further consideration of a candidate

Duties:

  • Providing administrative support to the Executive Director, council & executive committee
  • Engage with faculty associations, allied organizations, and government representatives
  • Answer phone calls, manage emails, process mail, and distribute documents.
  • Prepare meeting agendas and record meeting minutes.
  • Format and circulate newsletters (via Mailchimp) and update the website (via WordPress).
  • Review, proofread, and distribute communications across various platforms.
  • Organize Executive Committee, council, and stakeholder meetings.
  • Coordinate annual academic awards and spring gala, including vendor communication.
  • Document action items and follow up on meeting outcomes.
  • Perform daily record-keeping, document filing, and office supply monitoring.
  • Ensure efficient administrative workflows and office support
