Scope of Policy
This policy applies to Express Employment Professionals, Specialized Recruiting Group, and Express Healthcare Staffing (collectively, the “Express Brands,” “our,” “we,” or “us”) and its collection, use, and disclosure of personal information of applicants and associates in Canada. “Personal information” in this policy is any information collected about an identifiable individual, but does not include the name, professional title, business address, business telephone/fax number, business e-mail address or any other business contact information.

Commitment to Privacy
We respect the privacy of individuals in all aspects of our business operations. We are committed to protecting the personal information of applicants and associates when providing services to our clients. We are committed to ensuring that the personal information of applicants and associates is only collected, used, and disclosed by Express Brands in accordance with applicable privacy law and the terms of this policy.
Consent
By providing your personal information to Express Brands, you consent to the collection, use, and disclosure of your personal information in accordance with this policy and for the reasons identified below. You will be notified in advance about any new purposes for which your personal information may be collected, used, or disclosed by Express Brands. Express Brands will obtain any further consent, if required by law, at that time.
Types of Information Collected
Applicants: As an Express Brands applicant, you are asked to provide certain information used to provide you with the best possible service and to determine your suitability for employment by Express Brands. In addition to your contact information (including your name, mailing address, and email address), your resume (including your employment history), and a description of the type of work you are looking for, we may collect any of the following:
- Interview notes
- Information from reference/background checks
- Educational records
- Skill testing results
Associates: When you are hired as an Express Brands associate, we will collect additional personal information required to establish and manage the employment relationship. This includes:
- Information required to provide payroll services, including banking details, tax deductions, and your social insurance number
- Information about you and your beneficiaries, as required, to enroll in our benefits package
- Information about any accommodation needs you may have
- Information about your job performance
Purposes of Collection
Express Brands collects, uses, and discloses personal information of applicants and associates to establish, maintain, and, in some cases, terminate an employment relationship, as authorized or required by law. These purposes include, but are not limited to, the following:
- To understand your qualifications, needs, and preferences in order to find the best job opportunity for applicants and associates and to fill our clients’ requests for information about job candidates
- To provide associates with appropriate training
- To assess and develop operations to better serve applicants, associates, and clients, including through marketing and promotion
- To process and administer payroll including benefits enrolment (where applicable)
- To meet related regulatory and legal requirements
- To manage the employment relationship and all related human resources’ functions
- To monitor, document, assess, and address associate performance and adherence to applicable laws and policies
Express Brands may also use the personal information we collect and receive for other purposes that will be described to you at or before the time of collection or for which you provide your consent.
We never collect more personal information than is needed to fulfil the purposes described above, unless required by law, or requested by the client and with your consent. Your personal information is never traded, sold, or leased by us to any external company. Your information is only disclosed to the extent necessary to meet the purposes for which it was collected or as required to meet legal and regulatory requirements.
Methods of Information Collection
We collect your personal information directly from you. This could be in person or online. It could also be through our website or our app.
Where personal information is collected in person from you, the collection, use, disclosure, and retention of the personal information will be completed on behalf of Express Brands by the franchise office through which you are placed.
Disclosure of Information to Third Parties
We may share information with vendors who perform services on our behalf or otherwise to collect, use, disclose, store, or process personal information on our behalf for the purposes described in this policy. For example: such vendors could include benefits providers, text advertising agencies, etc. Some of these vendors may be located outside of Canada, including the United States, and your personal information may be subject to applicable laws in those jurisdictions.
We share information with clients. We share contact, demographic, and employment information with clients who are seeking associates to fill jobs.
We share information under certain circumstances if we believe we need to in order to comply with legal, regulatory, insurance, audit, and security requirements, and otherwise with your consent or as permitted or required by law.
We may share information for any other purpose as disclosed to you at the time of collection or when we have obtained valid consent. Please note that this policy is not intended to limit our ability to share or disclose aggregated, pseudonymized, or anonymized data in a manner that accords with applicable privacy law.
Retention
Unless required or permitted by applicable provincial or federal legislation, we will only retain your personal information for as long as necessary to fulfill the purposes for which we collected it, including for the purposes of any legal, accounting, or reporting requirements.
If you become inactive or are no longer employed by Express Brands, your personal information will be preserved and securely disposed of in accordance with our Record Retention Policy and all applicable law.
Reasonable Security Measures
We have adopted reasonable security procedures to help protect against loss, misuse, interference, disclosure, destruction, alteration, and unauthorized access to the personal information you provide to us. We also maintain reasonable procedures to help ensure that such data is reliable for its intended use and is accurate, complete, and current.
We Store Information in the United States
Please be advised that regardless of the geographic location from which you use our services or provide personal information to us, we transfer, maintain, and process your information in the United States.
Correction of and Access to Collected Personal Information
In accordance with applicable privacy legislation, you may at any time make a written request for access to your personal information. Express Brands strives to maintain accurate, up-to-date records of your personal information. Upon your request, you shall be informed of the existence and, where possible, the use and disclosure of your personal information. You may verify the accuracy and completeness of your personal information and may request that it be amended, if appropriate. Contact your Express Brands office to let us know about any personal information you have given us in the past that is incomplete, inaccurate, or no longer relevant. We will make the appropriate modifications.
If applicable to you, you may exercise your rights by filling out the following online form Privacy Data Request Form. You can also contact us at privacyrequest@expresspros.com or 1-888-635-1662. We verify requests by matching information you provide to us with information we already have about you. You can designate someone else to make a request by having them execute a signed letter verifying their right to act on your behalf. In some situations, we may not be able or required to process your request. This may include if a legal exception applies. If you disagree with our decision, you can contact us as indicated in the Contact Us section of this Privacy Policy.
Policy Updates
We may make changes or updates to this policy to reflect our changing privacy practices. Updated versions of the Privacy Policy will be included in the most current Welcome Handbook and posted on our website. Please check our site periodically for updates. By your continued use of our services, you acknowledge that any revised privacy policy will supersede any prior privacy policies to which you and your information may have been subject.
