Job Title: Order Desk Representative

Job Summary:
As an Order Desk Representative, you will play a vital role in ensuring smooth order processing, exceptional customer service, and efficient communication between our sales team, warehouse, and customers. You will be responsible for managing customer orders, providing product information, and ensuring timely order fulfillment for both residential and commercial projects.
Key Responsibilities:
- Accurately process customer orders for countertops, flooring, and other surface materials via phone, email, or order management system.
- Ensure customer orders are complete with correct product details, quantities, and delivery instructions.
- Respond to customer inquiries regarding product availability, pricing, delivery timelines, and any special requests.
- Collaborate with sales, warehouse, and shipping teams to ensure orders are fulfilled on time and in full.
- Track and manage backorders and notify customers of any delays or changes to their orders.
- Provide timely updates to customers regarding order status and delivery schedules.
- Address and resolve any order discrepancies, issues, or returns to ensure customer satisfaction.
- Maintain accurate records of customer orders and communications in the system.
- Assist in generating invoices and ensuring the accuracy of product pricing and details.
- Monitor inventory levels and work with the purchasing team to replenish stock as needed.
- Support the sales team by handling special requests and ensuring smooth coordination between departments.
Qualifications:
- High school diploma or equivalent; additional education in business, sales, or a related field is a plus.
- Prior experience in order processing, customer service, or a similar role within the construction or home improvement industry preferred.
- Strong communication skills and the ability to interact effectively with customers, team members, and vendors.
- Detail-oriented with the ability to manage multiple orders and prioritize tasks efficiently.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with order management systems.
- Knowledge of the construction or home improvement industry, particularly countertops and flooring, is a plus.
- Ability to work in a fast-paced environment while maintaining a high level of accuracy.
Preferred Skills:
- Previous experience in an order desk or customer support role, especially in the construction or surface materials industry.
- Familiarity with order management or CRM software.
- Basic knowledge of inventory management and shipping processes.
