Job Full Description
Job Title: Executive Assistant
Responsibilities:

Calendar Management:
- Efficiently schedule meetings and tasks, making recommendations for optimal time management.
- Exercise discretion in managing time commitments and evaluating priorities.

Liaison between COO and Internal/External Stakeholders:
- Facilitate timely and accurate communication between the COO and internal/external parties.
- Coordinate with internal team members on action items, documentation, and project updates.
- Screen phone calls, manage messages, and handle correspondence appropriately.

Administrative Support:
- Address and resolve administrative challenges, demonstrating initiative and problem-solving skills.
- Manage expenses, process invoices, and prepare expense reports, including those for the COO.
- Maintain file management systems and prepare materials for meetings and travel arrangements.

Confidentiality:
- Serve as the trusted guardian of highly sensitive and confidential information.
- Handle daily activities with integrity and maturity, ensuring the confidentiality of information impacting the COO and the organization.
Qualifications:
- College diploma required.
- Minimum 3 years of administrative support experience in a fast-paced environment.
- Proactive, self-starter attitude with a demonstrated ability to take initiative and meet deadlines.
- Excellent written and verbal communication skills, with the ability to build positive relationships.
- Experience in complex calendar management and scheduling high-profile meetings.
- Strong attention to detail, organization, and ability to multitask under pressure.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and other relevant applications.
- Mature personality with a commitment to maintaining high standards of confidentiality.
- Knowledge and sensitivity to gender, race, sexual orientation, age, and multicultural issues.
