Job Description: Sales and Service Administrator
Position Overview
We are seeking a detail-oriented and organized Sales and Service Administrator to join our client's team. This position is integral to ensuring the smooth operation of client services, administrative processes, and regulatory compliance. The ideal candidate will demonstrate exceptional multitasking abilities, excellent communication skills, and a commitment to delivering high-quality service.
Key Responsibilities
1. Client File Preparation and Meeting Support
- Gather and document necessary client information for meetings.
- Prepare client files, including generating illustrations and summaries.
- Ensure all information is accurate and readily available for advisors.
2. Client Service Excellence
- Consistently provide superior service to clients through telephone and written communications.
- Respond to client inquiries in a timely and professional manner.
3. System and Data Management
- Collaborate with Equisoft representatives to ensure accurate and timely updates of client information in the system.
- Maintain and update client databases, including partner company portals and the company’s CRM.
4. New Business Processing
- Prepare and submit new sales applications following company procedures for life insurance, segregated funds, GICs, and mutual funds.
- Process mutual fund transactions through the dealership IPC and online systems.
5. Administrative Support
- Provide administrative assistance to advisors, including managing correspondence, handling incoming mail, scanning documents, and updating records.
- Assist with marketing campaigns and other business development initiatives for the company’s advisors.
- Make bank deposits and, if required, liaise with the landlord regarding office-related matters.
6. Regulatory Compliance and Licensing
- Maintain client files in compliance with all relevant regulatory bodies.
- Pursue continuing education and licensing requirements as mandated by the MFDA and FSRAO.
7. Task Prioritization and Efficiency
- Balance the preparation of meeting materials with the timely submission of new business applications.
- Suggest improvements to enhance office and appointment efficiencies.
Qualifications
- Strong organizational and multitasking skills.
- Proficiency in administrative tools and CRM systems (experience with Equisoft is an asset).
- Excellent verbal and written communication skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Knowledge of financial products such as mutual funds, segregated funds, and GICs is preferred.
- Commitment to professional growth through education and licensing.

- Ability to travel locally for tasks like bank deposits when needed.
