Our client, a non-profit organization located downtown, is currently looking for an Administrative Affiliate Coordinator to join their team on a full-time permanent basis. 

This position is currently 100% in-office.

Key Accountabilities and Responsibilities:

  • Assisting the Executive Director and Case Manager
  • Scheduling and coordinating affiliate team meetings and Board of Director meetings
  • Assisting with coordinating the Annual General Meeting (AGM) and attending it as well (travel within Canada would be required one time per year)
  • Attending meetings and taking minutes
  • Creating/reviewing documents and reports
  • Assisting with preparation of different outreach initiatives
  • Maintaining proper electronic filing systems
  • Filing and preparation of accounting documents
  • Submitting expense reports for approval
  • Updating minor information on company website
  • Creating / updating online forms for members
  • Creating and submitting SurveyMonkey surveys and doodle polls as needed
  • Submitting documents for translation services
  • Generating reports from company CRM (IMIS) and submitting to management  
  • General administrative support to the operations on an as needed basis
  • Assisting with minor bookkeeping functions (e.g. entering a credit/refund for a member)
  • Providing ongoing coordination and administrative support between head office and affiliate offices and divisions
  • Supporting Case Manager and executing administrative responsibilities related to case management
  • Other duties as assigned

Credentials:

  • Must be bilingual (English & French) both oral and written
  • Minimum 2-3 years’ experience in a similar administrative role
  • Strong computer literacy including effective working skills of Microsoft Office & MS Teams
  • Ability to prioritize and manage multiple tasks and deadlines
  • Ability to adapt quickly to changing priorities
  • Professional, courteous and a great team player
  • Previous experience with QuickBooks Online considered an asset
  • A background in law or legal studies considered an asset

The starting wage for this position ranges from $25.00 - $28.60 per hour depending on experience and education.

Hours are flexible: Can start between 8:00am and 10:00am, and finish between 4:00pm and 6:00pm (1 hour lunch) – 35-hour work week
