Job Full Description
Our client, a non-profit organization located downtown, is currently looking for an Administrative Affiliate Coordinator to join their team on a full-time permanent basis.
This position is currently 100% in-office.

Key Accountabilities and Responsibilities:
- Assisting the Executive Director and Case Manager
- Scheduling and coordinating affiliate team meetings and Board of Director meetings
- Assisting with coordinating the Annual General Meeting (AGM) and attending it as well (travel within Canada would be required one time per year)
- Attending meetings and taking minutes
- Creating/reviewing documents and reports
- Assisting with preparation of different outreach initiatives
- Maintaining proper electronic filing systems
- Filing and preparation of accounting documents
- Submitting expense reports for approval
- Updating minor information on company website
- Creating / updating online forms for members
- Creating and submitting SurveyMonkey surveys and doodle polls as needed
- Submitting documents for translation services
- Generating reports from company CRM (IMIS) and submitting to management
- General administrative support to the operations on an as needed basis
- Assisting with minor bookkeeping functions (e.g. entering a credit/refund for a member)
- Providing ongoing coordination and administrative support between head office and affiliate offices and divisions
- Supporting Case Manager and executing administrative responsibilities related to case management
- Other duties as assigned
Credentials:
- Must be bilingual (English & French) both oral and written
- Minimum 2-3 years’ experience in a similar administrative role
- Strong computer literacy including effective working skills of Microsoft Office & MS Teams
- Ability to prioritize and manage multiple tasks and deadlines
- Ability to adapt quickly to changing priorities
- Professional, courteous and a great team player
- Previous experience with QuickBooks Online considered an asset
- A background in law or legal studies considered an asset
The starting wage for this position ranges from $25.00 - $28.60 per hour depending on experience and education.
Hours are flexible: Can start between 8:00am and 10:00am, and finish between 4:00pm and 6:00pm (1 hour lunch) – 35-hour work week
