As the first point of contact, you'll provide exceptional customer service, manage the front desk, and ensure seamless day-to-day operations. Additionally, you'll oversee accounts payable functions, maintaining accurate records and ensuring timely payments.

Required skills and qualifications:

  • Minimum 1 year of office administration experience
  • Previous accounts payable experience
  • Previous experience with MS Office (Word, Excel, Outlook)
  • Previous experience with Sage50 considered an asset
  • Ability to work independently/in a team
  • Keen attention to detail
  • Comfortable working in an industrial / blue collar environment

Duties may include, but are not limited to:

  • Welcome employees and visitors with exceptional hospitality
  • Efficiently manage inbound and outbound telephone calls, ensuring seamless communication
  • Coordinate courier services, ensuring timely package delivery and receipt
  • Manage mail operations, processing incoming and outgoing mail with precision
  • Maintain organized and up-to-date filing systems, both physical and digital
  • Collaborate with the Controller to ensure smooth financial operations
  • Perform accurate and efficient data entry tasks
  • Accurately post invoices to digital files for secure record-keeping
  • Prepare invoices for Sage posting, ensuring seamless accounting integration
  • Investigate and resolve discrepancies with suppliers regarding missing invoices
  • Verify delivery slips against invoices and invoices against payment records
  • Prepare cheques for review and signature, ensuring timely payments
  • Reconcile payments and update records for accuracy
  • Other miscellaneous office duties as assigned

The wage for this position ranges from $21.63 to $26.44 per hour ($45,000 to $55,000 per year) based on experience

Monday to Thursday – 7:00am to 4:30pm
Friday – 7:00am to noon

Location: Southeast of Ottawa
