On behalf of our respected client, a renowned not-for-profit organization in downtown Ottawa, we are recruiting a highly skilled Administrative Assistant to join their dynamic team. As a key member of the staff, you will provide administrative expertise and ensure seamless day-to-day operations.

Duties may include, but are not limited to:

  • Serve as the First Point of Contact (POC) for visitors and clients entering the office
  • Greet and welcome guests, offer refreshments, and make them comfortable
  • Answer phone calls, notify personnel of arrivals, and manage couriers and mail-outs
  • Maintain office supplies, set up the boardroom, and keep the reception area clean and organized
  • Provide administrative support to two Vice Presidents - arrange travel itineraries, including flights, accommodations, and transportation, coordinate meetings, appointments, and schedules
  • Assist other departments as required and stay updated on company policies and events
  • Other duties as assigned

Required skills and qualifications:

  • 2+ years of administrative experience, ideally supporting a team
  • Proven organizational and prioritization skills
  • Excellent written and verbal English communication skills (to be assessed)
  • Proficient in electronic and virtual meeting platforms
  • Self-motivated and autonomous
  • Strong problem-solving and critical thinking abilities
  • Meticulous attention to detail
  • Collaborative team player with a flexible approach
  • Demonstrated professionalism, discretion, and confidentiality
  • Ability to work effectively in an office environment

Monday to Friday – 9:00am to 5:00pm

Salary: $50,000 - $55,000 per year
