We are seeking a highly skilled and dynamic Administrative Assistant to join the team of our exclusive client, a prestigious boutique luxury real estate brokerage situated in Ottawa's desirable Central East End.

The ideal candidate will be presentable, professional, and confident in their abilities, with a strong ability to adapt and respond to changing circumstances, getting up and going at a moment's notice. Required skills and qualifications:

  • 1-2 years’ administrative experience within a fast-paced environment
  • Must have post secondary education ideally in business, economics, statistics, and/or marketing
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Ability to interpret and understand statistical data, with capacity to identify trends and patterns
  • Skilled in creating informative and engaging graphs / charts
  • Meticulous and thorough in reviewing data, identifying errors, and ensuring accuracy
  • Highly organized and efficient in managing multiple tasks, prioritizing deadlines, and maintaining a high level of productivity
  • Flexible and able to adapt to changing priorities, deadlines, and project requirements
  • Demonstrate a high degree of professionalism and discretion; maintain confidentiality, be respectful and diplomatic
  • Strong initiative and ability to work independently with minimal supervision
  • Strong analytical thinking, judgment, and problem-solving skills
  • Must have own vehicle and a valid driver’s license

Duties may include but are limited to:

  • Compile and maintain weekly mailout statistics in a spreadsheet/report format
  • Input statistics into advertisements to ensure accuracy and effectiveness
  • Verify that advertisements are being delivered to the correct locations
  • Provide weekly reporting to clients, highlighting key statistics and performance metrics
  • Conduct property visits to secure/install lockboxes, unlock/lock doors for viewings, and adjust lighting as needed
  • Deliver items to clients as requested
  • Maintain and update the client Christmas list as well as CRM data to ensure timely, accurate and personalized gestures
  • Assist broker by attending open houses from time to time when extra on-site support is needed (typically occurs on Sundays, with the following Monday being provided as a day off in lieu)
  • Perform general office support functions as required

Monday to Friday – 9:00am to 5:30pm – May be required to work outside of regular hours at times

Salary: $55,000 - $58,000 per year depending on experience
