Required Experience / Qualifications:

  • 1-2 years of administrative or operations support experience
  • Fluency in both English and French
  • Background in finance
  • Experience in logistics or fleet management (an asset)
  • Ability to work outdoors in a storage yard (approximately 10% of the time)
  • Familiarity with ERP software (e.g., SAP) (an asset)
  • Reliable transportation to and from work
  • Collaborative mindset with a willingness to support teammates
  • Business Administration Diploma (an asset)

Duties may include, but are not limited to:

Fleet Management

  • Coordinate transportation of units with vendors and customers
  • Maintain transportation calendar for all units
  • Inspect fleet units, document damages, and identify maintenance needs
  • Arrange servicing and maintenance with vendors and subcontractors

Client Communication

  • Communicate chargebacks to clients for damages or missing items
  • Liaise between clients, project staff, and subcontractors

Reporting and Tracking

  • Track and report fleet asset location and condition using SAP
  • Perform daily, weekly, monthly, quarterly, and annual fleet counts
  • Monitor and reconcile materials inventory

Administrative Tasks

  • Maintain filing systems (paper and electronic)
  • Answer and route phone calls, distribute mail, and order office supplies
  • Update reports and spreadsheets
  • Issue Purchase Orders in SAP

Accounting and Finance

  • Assist with project billing and accounts receivable review
  • Review monthly accounting statements and advise on adjusting entries
  • Help prepare monthly and year-end General Ledger and P&L statements
  • Perform additional tasks as assigned

The wage for this position ranges from $28.85 to $31.25 per hour depending on experience.  

Hours: Monday to Friday – 8:00am to 5:00pm
