Position: Service Administrator
Hourly Rate: $22 per hour
Location: Concord, Ontario
Department: Service Department

Job Summary:

Our local Automation Client is seeking a detail-oriented and proactive Service Administrator to join our team. In this role, you will be responsible for managing service-related administrative tasks, ensuring smooth operations and efficient communication between clients, technicians, and other departments. You will handle service requests, maintain records, track inventory, and provide exceptional customer support.

 

Key Responsibilities:

  • Customer Service Support:
    • Respond to client inquiries regarding service requests, schedules, and status updates.
    • Address customer concerns in a professional, friendly, and timely manner.
    • Maintain positive relationships with clients and ensure a high level of customer satisfaction.
  • Service Coordination:
    • Schedule and dispatch technicians for service calls.
    • Coordinate with other departments (e.g., sales, operations) to ensure that customer needs are met.
    • Maintain an updated calendar of service appointments and ensure proper allocation of resources.
  • Documentation and Record Keeping:
    • Create and maintain accurate service records, including work orders, service reports, and customer feedback.
    • Update customer information in the database and ensure data accuracy.
    • Track service job statuses and escalate unresolved issues to management.
  • Inventory Management:
    • Assist with inventory tracking for service-related materials and parts.
    • Monitor stock levels and notify management of any shortages or reorder requirements.
  • Billing and Invoicing:
    • Assist with the creation and processing of invoices for services rendered.
    • Ensure accurate billing, review service agreements, and address discrepancies.
  • Administrative Support:
    • Handle incoming phone calls, emails, and correspondence.
    • Assist with various office tasks such as filing, scanning, and organizing documentation.
    • Prepare reports and other administrative documents as needed.

Qualifications:

  • Experience:
    • Previous administrative experience, preferably in a service or operations role.
    • Experience with customer service and handling inquiries is highly desirable.
  • Skills:
    • Strong organizational skills and attention to detail.
    • Excellent communication skills (verbal and written).
    • Ability to multi-task and prioritize in a fast-paced environment.
    • Proficient in Microsoft Office Suite (Excel, Word, Outlook) and basic office software.
    • Familiarity with service management software (e.g., CRM, scheduling tools) is a plus.
  • Education:
    • High school diploma or equivalent required.
    • Associate degree or additional training in business administration is a plus.
  • Other:
    • Must be a team player with a strong work ethic.
    • Ability to work independently and take initiative.
    • Must be able to adapt to changing tasks and priorities.

Physical Requirements:

  • Ability to sit at a desk and work on a computer for extended periods.
  • Occasional lifting of office supplies and materials up to 25 lbs.

Working Conditions:

  • Monday to Friday 8am to 5pm in office
  • May require occasional overtime depending on service demands.
