Job Full Description

Our client is seeking a highly organized and detail-oriented Bookkeeper to join their team on a contract basis. This role involves a broad range of bookkeeping and administrative tasks, including accounts receivable (AR), accounts payable (AP), vendor management, payroll, and month-end reconciliations. The ideal candidate will be experienced with Sage 50 and proficient in managing daily, weekly, and monthly bookkeeping functions.

 

Qualifications:

  • Technical Proficiency: Experience with Sage 50 is required
  • Bookkeeping Knowledge: Strong understanding of AR, AP, payroll, HST, and WSIB
  • Detail-Oriented: Ability to manage multiple tasks accurately and efficiently
  • Communication Skills: Professional in customer service and skilled in front-line management

 

Responsibilities:

  • Daily: Process and invoice accounts payable (vendor payments) and accounts receivable (customer payments)
  • Weekly: Enter all customer cheques from the mail, tally them for bank deposits, and maintain accurate cheque book records for deposits. Cash deposits are processed separately
  • Monthly: Send out statements to vendors with outstanding balances
  • Vendor & Payroll Management:
  • Mondays: Process vendor payments (prepare cheques, clear in the system, and track in Excel) Get authorization from Andy, handle mailing
  • Tuesdays: Process weekly payroll, including cheque preparation and recordkeeping
  • 12th of the Month: Process payroll HST remittance
  • End of Month: Process HST remittance and prepare monthly invoices, including specific invoices for Lambton Diesel rentals

Banking & Reconciliation:

  • Daily: Verify and match bank deposits in the general journal and ensure online banking matches before final entry
  • End of Month: Complete bank reconciliations for CAD and USD accounts, match Moneris receipts, and verify month-end statements

Quarterly Obligations:

  • Process WSIB remittance and ensure all quarterly regulatory requirements are met

Administrative Support:

  • Manage phone lines as the first point of contact, answer and transfer calls as needed
  • Assist with border paperwork for shipping or purchasing as required
  • Start computers each morning and update the calendar on Sage 50
  • Prepare monthly reports as outlined and maintain organized records, including filing, scanning, and mailing of documents
  • Confirm all invoices related to shipping tickets are entered in the system, address any missing invoices, and handle documentation as required

Additional Month-End Duties:

  • Review and reconcile Visa statements for payment
  • Compile month-end reports for all accounts (a list will be provided)

 

Wage: $25.00 - $30.00/Hour
