Overview
Our client is a diverse and dynamic family office with operations and assets in construction, manufacturing, land development, and agriculture across the United States and Canada. We are seeking a highly organized, motivated, and personable individual to join their team as an Administrative/Executive Assistant. This hybrid role offers the opportunity to support senior management, contribute to key operations, and help ensure the smooth functioning of our business.
Key Responsibilities
As an Administrative/Executive Assistant, you will be responsible for:
a) Administrative Support:
- Manage filing systems (both electronic and physical).
- Schedule and confirm appointments for team members.
- Answer phone calls, emails, and other inquiries with professionalism and efficiency.
- Provide exceptional customer service to clients and partners.
b) Executive Assistance:
- Support senior executives with various administrative tasks, including drafting and distributing correspondence, memos, and spreadsheets.
- Maintain calendars, coordinate meetings, and prepare agendas.
- Attend meetings, take detailed notes, and create actionable to-do lists.
c) Operational Support:
- Oversee accounts payable and receivable, ensuring timely and accurate processing.
- Perform general bookkeeping tasks and assist with financial tracking.
- Collaborate with accounting and legal teams on administrative matters.
- Digitally scan, organize, and maintain company records and documentation systems.
- Maintain office efficiency by arranging repairs, managing supplies, and tracking inventory.
d) Project and Event Coordination:
- Conduct research and prepare reports for various projects.
- Assist in planning and executing company events.
- Run occasional business and banking errands.
e) Additional Duties:
- Maintain and update the company website.
- Perform other tasks assigned to support the team.
Key Qualifications
- University degree or college diploma, an asset.
- 3+ years of experience thriving in an administrative capacity and in an office environment, a requirement.
- Experience in an administrative or executive assistant role, an asset.
- Experience in construction, real estate or land development office, an asset; however, we value the right attitude and potential over prior experience.
- Experience overseeing budgets and expenses.
- Professional demeanor and appearance.
- Has the willingness to learn and adapt.
Knowledge, Skills and Abilities
- Detail-oriented with a proactive approach to problem-solving.
- Strong organizational, time-management and multitasking abilities, with the capacity to skillfully handle the unexpected, while organizing and coordinating multiple projects at once.
- Excellent verbal and written English communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office productivity tools, with an aptitude to learn new software and systems.
- Ability to work independently and collaboratively in a fast-paced environment.
- Forward-thinking and entrepreneurial mindset, with the ability to work independently and take initiative.
- Exceptional energy, commitment to service excellence, and ability to maintain confidentiality.
Working Arrangements/Conditions and Compensation
- Criminal background checks are required and non-negotiable.
- The incumbent is required to attend a fraud and security training as they work with company financials and banking.
- Working hours are typically 25-40 hours per week, with 20 hours per week guaranteed.
- Flexible working hours; abundance of flexibility in terms of work schedule.

- Due to the nature of the role, the incumbent will be expected to work on-site. However, there will be days when the candidate can work remotely on an exception basis.
- Commences as a part-time role with potential for advancement to a full-time position based on employee performance and company needs.
